INVITATION TO TENDER: Supply and Delivery of 200 Brand-New Laptops
The Forum for African Women Educationalists Zimbabwe (FAWEZI) is a membership-based organisation established in March 1998 and registered as a Private Voluntary Organisation Registration No. PVO 150/23. FAWEZI’s vision is an inclusive Zimbabwe where gender disparities are eliminated and girls and women are holistically empowered for socio-economic transformation.
FAWEZI hereby invites eligible, competent, and experienced suppliers to submit sealed bids for the supply and delivery of two hundred (200) brand-new laptops. The objective of this tender is to engage a reliable supplier capable of meeting FAWEZI’s technical, and delivery requirements.
Scope of Supply
The successful bidder will be required to supply and deliver 200 (two hundred) brand-new laptops meeting the minimum specifications outlined below:
Minimum Technical Specifications
Processor: Intel Core i7 (H-Series)
Base Clock Speed: Minimum 2.2 GHz
Processor Generation: 13th, or 14th Generation
Installed RAM: Minimum 12 GB
Storage: Minimum 512 GB SSD
Display: 14-inch screen
Condition: Brand new, unused, and in original manufacturer packaging
NB* All laptop must be delivered with a durable bag (Satchel)
NB* All laptops must be of reputable international brands and compliant with original equipment manufacturer (OEM) standards.
1.1 Capacity and Delivery Commitment
Bidders must demonstrate the capacity and readiness to supply and deliver the full quantity of two hundred (200) laptops by no later than 5 March 2026.
The bidder shall provide a written delivery commitment, confirming availability of stock and the ability to meet the stipulated delivery deadline. Failure to deliver the full consignment within the specified timeframe shall constitute a material breach of contract and may result in contract termination, penalties, or disqualification from future FAWEZI procurement processes.
FAWEZI reserves the right to request supporting evidence of stock availability or supplier agreements to validate the bidder’s delivery capacity.
Warranty and After-Sales Support
Each laptop must be supplied with a minimum manufacturer’s warranty of twelve (12) months.
The warranty must provide for prompt repair or replacement of defective units at no additional cost to FAWEZI.
Suppliers must clearly outline after-sales support arrangements, including service turnaround times and local technical support availability.
Pricing and Financial Requirements
Bidders must submit a detailed financial quotation in United States Dollars (USD).
Prices must be inclusive of all applicable costs, including supply, packaging, transportation, insurance, duties, and delivery to FAWEZI premises in Harare.
Unit price per laptop and the total contract price must be clearly stated.
Prices quoted shall be fixed and not subject to variation for the duration of the contract.
Delivery Timelines
Bidders must specify a clear and realistic delivery schedule from the date of contract award.
The maximum acceptable delivery period is not more than thirty (30) calendar days from the date of purchase order issuance.
Partial deliveries will only be accepted with prior written approval from FAWEZI.
Mandatory Supplier Requirements
Prospective suppliers must meet the following eligibility criteria and submit supporting documentation:
Valid Certificate of Incorporation and Company Profile.
A current Zimbabwe Revenue Authority (ZIMRA) Tax Clearance Certificate and Value Added Tax Certificate.
Proven capacity to supply ICT equipment of similar scale and complexity.
Submission of at least three (3) traceable references from clients for similar assignments successfully executed within the past five (5) years. Each reference must indicate the nature of supply and contract value in USD.
A completed financial schedule aligned to the stated specifications.
5.1 Bulk Purchase Discount
Given the scale of the procurement, bidders are required to clearly state the bulk purchase discount offered as a percentage (%) reduction on the standard unit price for the supply of two hundred (200) laptops.
The discount must be explicitly itemised in the financial proposal, indicating:
the original unit price,
the applicable bulk discount percentage (%), and
the final discounted unit price and total contract value in USD.
Bid Validity
Proposals must remain valid for a minimum period of 30 working days from the tender submission deadline.
Bidders must clearly state the proposal validity period in their submission.

FAWEZI reserves the right to accept or reject any bid, in whole or in part, without assigning any reason.
FAWEZI is not bound to accept the lowest priced bid.
Any attempt to influence the tender process will result in automatic disqualification.
